Important – Please Read: 

Viper Tradeshow Services is our General Contractor for the event and will be managing the loading dock onsite, receiving advanced non-perishable freight, onsite deliveries, and getting your materials to your booth, including refrigerated and frozen product.

Please review this message carefully and complete the forms required for your exhibitor service needs no later than September 21 to avoid surcharges.  Orders received after this deadline will be subject to availability.

Important Information:

  • Show hours are 9:30 AM to 5 PM on Thursday, September 30 and 9:30 AM to 12:00 PM on Friday, October 1; any exhibitors who tear down before 12:00 PM on Friday will be fined $500.
  • All exhibitor services must be ordered and paid in advance.
    • Material Handling ordered through and pre-paid to Viper Tradeshow Services
    • Electrical charges ordered and paid on the electrical order form to Encore
    • Food Prep form completed and submitted to Golbon Special Events for a quote.
  • Please note the most cost-effective way to manage your shipments:
    • Ship all items together (or bundle as much together as possible); separate shipments incur separate handling charges
    • Ship to advanced warehouse if possible


All exhibitor services must be ordered and paid in advance.  The packet attached includes the following order and payment forms:

  • Material Handling Order Form – required if you ship anything to the conference
  • Electrical Service Order Form – required if you need any electrical service in your booth
  • Food Preparation Order Form (for samples that require kitchen prep)
  • Shipping Instructions and Handling Labels – it is imperative that you follow the processes outlined to ensure proper receiving and handling of your materials and/or samples. 

Please note that effective since October 2018, Golbon is no longer billing our exhibitors at the
conclusion of each event (post show) for Material Handling Charges associated with your freight. All
Material Handling charges must be made IN ADVANCE to Viper Tradeshow Services per the attached
Official Exhibitor Services Kit for the Golbon Fall Conference & Awards, September 29 – October 1,
2021 at the San Antonio Marriott Rivercenter.

It is important to note, that your freight will not be delivered to your booth until credit card payment is arranged and payment in full is received by Viper.

How do I order electrical service, food prep or foodservice equipment for my booth?
Simply fill out the Exhibitor Services Packet (link will be posted above). Deadlines are listed in the packet.

What if I miss the Exhibitor Services Deadline?
You may still submit your completed packet after the deadline; however, you will not be eligible for the advance discounted rates.

Where do I ship my booth materials and samples?  
Please see the Exhibitor Services Packet for instructions and labels for handling and storage of items shipped to the show; the packet has been emailed to all supplier attendees and is linked above.  It is imperative that you follow the instructions carefully to allow for proper receiving and handling of your show materials.

What does my booth include?

Standard Booth Packages include: 8’ T-Table Booth (8 ft table in the back of booth with 6 ft intersecting it to create a t-shape), four chairs, an exhibitor ID sign, wireless internet access, and a small trash can.

Sponsor Booth Packages include: 10×8 Booth with table-height pipe-and-drape, four chairs, a prominent sponsor sign, exhibitor ID sign, wireless internet access, and a small trash can.

The entire show floor is carpeted.

When can I set up/refresh my booth?    
A representative will be onsite during these set up hours to assist in locating any booth materials and/or samples shipped in to the show.

Wednesday, September 29:
Exhibitor Booth Setup from 3:00 – 5:30 PM

Thursday, September 30: Exhibitor Booth Setup from 8:15 – 9:30 AM

Friday, October 1: Exhibitor Booth Refresh from 8:15 – 9:30 AM

Are there any booth restrictions? 

Nothing may be hung from the walls, including exhibitor banners or other signage.

Oversized displays must be pre-approved by Golbon Special Events. If you require perimeter space please notify Golbon Special Events prior to the conference registration deadline. No onsite modifications will be permitted.

Do I need insurance?

Suppliers are responsible for their own properties.  It is expected they have, or will purchase, adequate insurance to protect against perils.  It is highly recommended that an exhibitor obtain adequate insurance coverage, at their own expense, for property loss or damage and liability for personal injury.

We have rooms set aside at multiple hotels within walking distance of our event hotel, the Marriott Rivercenter. 

The Golbon hotel room blocks below are available until sold out or released September 8, 2021. Please reserve your room as soon as possible. There are large events in San Antonio during our conference week and rooms likely will not be available if you wait. 

All hotel reservations must be guaranteed with a major credit card. Make sure to review the cancellation policy when booking your room.

Spouse & Companion Events

We have a special program just for our spouse and companion guests. If you are bringing a spouse or other companion, please ensure you have let Golbon Special Events know their name and email address so we may communicate directly with them about the conference.

All spouse and companion guests over the age of 18 are invited to attend our evening social functions. In addition, we have a spouse and companion breakfast on both Thursday and Friday, plus special tours and activities planned just for them on Thursday during the food show hours.

Frequently Asked Questions

What are the conference dates?
The Fall Member Conference takes place September 29 – October 1, 2021. Conference events begin Wednesday, September 29 for both members and suppliers.  Please plan to arrive in time to attend your first conference event; depart on Friday, October 1 after 3:30 PM or anytime on Saturday, October 2 to ensure your participation in all events.

Where are the conference events?
All conference events will be held at the Marriott Rivercenter.

How do I make hotel arrangements?
You can make reservations by following the instructions provided on the “Lodging & Travel” tab of this site. Book early to ensure you receive the discounted group rates. These rates will be available until they are sold out or released, whichever comes first. After that, if the hotels are not sold out, rooms will be at the prevailing rates at each hotel at that time.

Due to a city-wide convention happening the same week as our conference, lodging will go quickly – we recommend booking as soon as possible to guarantee you will have a room. 

How do the show appointments work?  
The food show is based on individual pre-scheduled 15-minute meetings between members and suppliers at supplier booths. In August we will provide instructions for making appointment requests to all registered members and suppliers. We create custom appointment schedules based on our participating member and supplier preferences. Unfortunately we can’t accommodate all requests 100%, but strive to create a productive schedule of meetings for you. Final appointment schedules will be sent to all attending members and suppliers two weeks prior to the show.

Is a list of attendees available?
A list of attending companies will be provided one month prior to the event.

Where do I go to pick up my name badge and other onsite show materials?
Your name badge and registration packet will be available at Golbon Registration & Hospitality at the Marriott Rivercenter on Wednesday, September 29. Unclaimed name badges will be available at the opening reception that evening.

Will Wi-Fi be available at the show?
Golbon will be providing Wi-Fi on the show floor, beginning Thursday, September 30.

What is the conference attire?
Wednesday Events:  all events are business casual, denim ok
Thursday & Friday:  Show floor:  business casual
Spouse & Companion Events:  casual

If I bring my spouse or a personal guest, is there something for him or her to do while I’m in meetings?
We do have a program created especially for our attending spouses and other personal guests. During the registration process we ask that you let us know if you have a spouse or other personal companion attending. After general show registration closes, we send them an invitation to sign up for special events created just for them. They are warmly welcome at our evening events as well. Please note that no guests under age 18 are allowed at conference events.
